Terms of Service
Effective date: May 5, 2026
These Terms of Service govern your access to and use of ClinicalChronology. By using ClinicalChronology, you agree to these terms. If you do not agree, do not use the service.
1. Eligibility and Accounts
You must be at least 18 years old to use ClinicalChronology.
- You are responsible for your account and all activity under it.
- You must provide accurate information and keep your credentials secure.
- Notify us promptly at support@clinicalchronology.com if you believe your account has been compromised.
2. Service Description
ClinicalChronology accepts medical record PDFs you upload, processes them to extract dated clinical events, and returns a downloadable PDF chronology with citations to source pages. Run status, page counts, and download links are surfaced in your dashboard.
You are responsible for the content of records you upload, for ensuring you have the legal right to process them, and for verifying the accuracy of the chronologies generated.
The standard pay-as-you-go service is not a HIPAA-covered service. Customers requiring a HIPAA-aligned environment can use the Private Deployment option, in which the ClinicalChronology software runs inside the customer's own cloud environment. Under Private Deployment, the customer is responsible for entering into Business Associate Agreements directly with the cloud infrastructure providers and AI model providers they choose to use.
3. Acceptable Use
You may not use ClinicalChronology to:
- Violate any applicable law or regulation.
- Upload records you do not have lawful authority to process.
- Attempt to circumvent usage limits, plan restrictions, or access controls.
- Reverse engineer, decompile, or extract the ClinicalChronology platform or its underlying systems.
- Transmit malicious code or interfere with the service.
- Impersonate another user or misrepresent your identity.
- Use the service in a way that creates disproportionate load on our infrastructure.
4. Billing and Plans
ClinicalChronology offers a pay-as-you-go service and a Private Deployment option:
- Pay-as-you-go: your first chronology is free up to 750 pages. After that, processing costs $0.40 per page. There is no monthly subscription. Charges are incurred only when you submit a run.
- Private Deployment: custom pricing for customers who want ClinicalChronology installed in their own environment. Contact support@clinicalchronology.com for terms.
Pricing shown in the product controls if it conflicts with any other summary. Payments are non-refundable except as required by law. We may update pricing with advance notice; existing customers will be notified before any price change takes effect for them. Payment processing is handled by our payment processor; we do not store full card numbers.
5. Your Data
You own the medical records you upload. We process them to provide the service, generate chronologies, and operate billing. See the Privacy Policy for details on how we handle your data.
We retain account, billing, and run data while your account is active. You can delete projects, runs, and uploaded records from your dashboard at any time. Upon account deletion, your uploaded records, runs, and generated chronologies are permanently deleted within 30 days unless longer retention is required by law. You may export your chronologies before deleting your account.
6. Ownership and Licenses
You retain ownership of the medical records you upload and the chronologies generated for you. ClinicalChronology retains ownership of the platform, dashboard, and underlying technology.
You grant ClinicalChronology a worldwide, royalty-free license to host, process, store, transmit, display, and use your uploaded records and the chronologies generated from them as necessary to provide, maintain, and improve the service. We do not sell your personal information.
7. Team Accounts
Team accounts allow multiple users to share access to ClinicalChronology projects and runs. The team owner is responsible for managing member access and permissions.
- The team owner is responsible for all activity under the team account.
- ClinicalChronology is not responsible for unauthorized access resulting from the owner's failure to manage team permissions.
- If a team ownership dispute arises, we may freeze the account until it is resolved.
8. Disclaimers
ClinicalChronology is provided "as is" and "as available" without warranties of any kind, express or implied, including fitness for a particular purpose, merchantability, or uninterrupted availability.
- Generated chronologies are produced by automated extraction and may contain errors, omissions, or misclassifications. You are responsible for reviewing and verifying the chronologies before relying on them for any clinical, legal, or other purpose.
- ClinicalChronology does not provide medical, legal, or professional advice.
- We are not liable for third-party service outages, model changes, or disruptions that affect chronology generation.
9. Limitation of Liability
To the maximum extent permitted by law, ClinicalChronology and its affiliates will not be liable for indirect, incidental, special, consequential, or punitive damages, or for lost profits, data, or business interruption.
Our aggregate liability for any claim arising out of or relating to the service will not exceed the greater of (a) amounts you paid to ClinicalChronology in the 12 months before the event giving rise to liability, or (b) $100 USD.
10. Indemnity
You agree to indemnify and hold harmless ClinicalChronology from claims, losses, and expenses arising from:
- Your use of the service.
- The records you upload, including your authority to process them.
- Your violation of these terms or applicable law.
- Activity under your account or team account.
11. Dispute Resolution
Before filing any claim, both parties agree to attempt informal resolution for at least 30 days by contacting support@clinicalchronology.com.
If unresolved, disputes will be resolved by binding arbitration on an individual basis. Class and representative actions are not permitted. If arbitration is unenforceable for a specific claim, that claim will be resolved in courts located in Delaware, and Delaware law will govern.
12. Suspension and Termination
We may suspend or terminate access if we reasonably believe your use creates legal, security, abuse, or operational risk, or violates these terms.
Upon termination:
- Your account access is disabled.
- Your existing chronologies remain available for 30 days so you can export them.
- After 30 days, your uploaded records, runs, and generated chronologies are permanently deleted.
You may cancel your account at any time from your account settings.
13. Changes to These Terms
We may update these terms periodically. The effective date above reflects the current version. Continued use of the service after an update means the updated terms apply. We will notify users of material changes by email or in-product notice.
